CRM for dental and aesthetics clinics: how to stop losing consultations.
Most private clinics don't have a marketing problem. They have a follow-up problem. Enquiries for implants, aligners and aesthetic treatments arrive by form, email, Instagram and WhatsApp, and the ones that aren't answered quickly quietly book elsewhere. A CRM set up for a clinic fixes that. Here's what it should do, what to automate and what to check before you switch it on.
Where clinics lose enquiries
Reception teams juggle patients at the desk, payments and messages at the same time. Website enquiries wait in a shared inbox, social messages sit in someone's phone, and a consultation enquiry that arrives on a Sunday evening might not get a reply until Tuesday.
Then there's the second leak: patients who enquire, get a price, and go quiet. Without a system, nobody follows up, and a course of treatment worth thousands disappears.
What a clinic CRM should do
- Capture every enquiry in one place: website forms, AI chat, email and WhatsApp, logged with the treatment they're interested in and where they found you.
- Reply instantly, any time of day, with a personal acknowledgement and a link to book.
- Track each patient by stage: enquiry, consultation booked, attended, treatment plan sent, started.
- Follow up automatically when someone goes quiet after a consultation or a price, with friendly, compliant messages.
- Remind and recall: consultation reminders to cut no-shows, and recall messages for check-ups and maintenance treatments.
- Report by treatment and source, so you know which treatments and which marketing actually bring in revenue.
What it shouldn't do
A good set-up is as much about the limits as the features:
- No clinical advice. Automated messages and AI chat should never diagnose, recommend treatment or comment on suitability. Clinical questions go to your clinicians.
- No pressure selling. Follow-ups can be warm and helpful, but shouldn't push treatments or create false urgency.
- No prescription-only medicine promotion. UK advertising rules (the CAP Code, enforced by the ASA) prohibit advertising prescription-only medicines such as botulinum toxin to the public. Follow-up templates and website content need to reflect that.
- No marketing without consent. Service messages about a patient's enquiry are different from marketing. Keep a clear record of who agreed to hear about offers.
Patient data and UK GDPR
Health information is special-category data under UK GDPR, so it needs extra care. Before switching anything on, make sure:
- The CRM only holds what's needed to respond and book, not detailed medical histories, which belong in your clinical system.
- There's a data processing agreement with every supplier, and you know where data is stored.
- Access is role-based, so staff see only what their job needs.
- Your privacy notice explains how enquiries are handled and how long you keep them.
How to tell if it's working
Measure it like you would a new member of the team:
- Time to first response for website, chat and WhatsApp enquiries
- Enquiries that become booked consultations, by treatment
- Consultations that become treatment plans
- No-show rate before and after reminders
How we set it up
We build clinic CRMs on HALO, our own CRM, or the system you already use: pipelines by treatment, instant replies, compliant follow-up templates you approve, and reporting your practice manager can read in a minute. See websites and CRM for clinics or how CRM setup works.
Quick answers
Still unsure? Ask us anything.
Do clinics need a CRM if we already have practice management software?
Usually, yes. Practice management software is built for patients already on your books. A CRM handles the step before: enquiries, follow-ups and turning interest into booked consultations. The two can work side by side.
Can a CRM send appointment reminders?
Yes. It can send consultation confirmations and reminders by email, text or WhatsApp, which helps cut no-shows.
Is a clinic CRM GDPR compliant?
It can be, if it holds only what's needed, is covered by a data processing agreement, uses role-based access and is explained in your privacy notice.
