How to follow up a quote without being pushy.

Most quotes aren't lost to a cheaper competitor. They're lost to silence. The customer got busy, the quote slipped down their inbox, and the firm that checked in politely won the work. Here's a simple follow-up rhythm, with templates you can use today.

Why follow-up feels pushy, and why it isn't

Following up feels awkward because it feels like chasing. But from the customer's side, a polite check-in is usually helpful: it brings your quote back to the top of a busy inbox and gives them an easy way to ask the question they've been putting off.

Pushy is pressure, false deadlines and repeated hard sells. Helpful is short, friendly and useful.

A simple rhythm

  • Day 0: send the quote with a clear next step.
  • Day 2: a quick check that it arrived and makes sense.
  • Day 5: something useful, such as an answer to a common question or a relevant example.
  • Day 12: a polite close-the-loop message.

Templates you can copy

Day 2: "Hi [name], just checking the quote came through OK and that everything makes sense. Happy to talk through any of it, or adjust anything that doesn't quite fit."

Day 5: "Hi [name], a question people often ask at this stage is [common question], so I thought I'd answer it in case it's useful: [answer]. Any questions, just reply here."

Day 12: "Hi [name], I don't want to fill your inbox, so this is my last nudge. If the timing isn't right, no problem at all. If you'd like to go ahead or change anything, just reply and we'll take it from there."

Make it automatic

The rhythm only works if it actually happens, every time, for every quote. That's where a CRM earns its keep: it sends the follow-ups for you, stops as soon as the customer replies, and shows you which quotes are still open. See how we set it up.

Quick answers

Still unsure? Ask us anything.

How long should I wait to follow up a quote?

Around two days for the first follow-up, then a useful message around day five and a polite final message around day twelve.

How many times should I follow up?

Two or three times is usually right. After that, close the loop politely and leave the door open.

Can follow-ups be automated?

Yes. A CRM can send timed follow-ups by email, text or WhatsApp and stop automatically when the customer replies.
